Be clear without suggesting that the guest has done something wrong:

If you prefer email:

Just after the deadline

Send a personal message and explain the actual supplier cutoff:

Hi Sam, we haven't received your wedding RSVP yet. We need to confirm our numbers with the venue on 5 June. Could you let us know by 29 May whether you can attend? Please reply here if the online form is closed. Thank you for helping us finalize the plans.

Do not promise that the online form will accept a late reply. If you have closed RSVPs, offer a direct reply and record the agreed answer yourself.

A final boundary, only when you are ready to enforce it:

Hi Leila, we need to finalize our wedding count on Friday. Please let us know by Thursday evening whether you can join us. If we haven't heard from you by then, we won't be able to include a place in the final count. Please contact us directly if you need to discuss it.

Give guests a fair chance to answer, apply your stated deadline consistently and tell them about any later arrangement personally. Do not silently turn a missing reply into a confirmed decline.

A missing meal choice or dietary note

Send this to a confirmed guest, rather than sending another attendance reminder:

Hi Priya, thank you for confirming you'll join us! We still need your meal choice and any dietary requirements for the caterer. Could you send those by 29 May? Your invitation link is here if replies are still open: [personal link]. You can also reply to me directly.

Check what you already hold before asking again. Share dietary information only with the people who need it to arrange the meal.

When a relative is helping with replies

Hi Aunt Grace, could you help me check whether Daniel plans to come to the wedding? We haven't received his reply yet. If he would prefer to answer by phone, he can call me. We need his answer by 29 May for the venue count.

Ask a family contact only when it is appropriate. A personal RSVP link is intended for the named guest, so avoid dropping it into a wider family group.

Find the right guests before you send

1. Open the event's Guests page and review the pending or invited records. Cross-check any replies you have already received by phone or message.
2. Confirm the named invitees, the actual deadline and the correct personal link. Use Copy invite when you need that guest's invitation link, then write your reminder around it.
3. Send through a channel the guest uses. On Free, follow-ups are manual. For guests without an email address, text or call them yourself.
4. Record the reply in the same guest list and reconcile additional guests, meals and changes before giving suppliers the final count. The owner can export the guest list as CSV on every tier.
